That is a pretty common question, and the answer is – normally, it takes us about 50 to 60 days to finish a custom gear project. That timeline covers everything from the very start to the moment the gears are ready to ship.
Let me break down what happens in those 50 to 60 days so you understand where the time goes.
- First, we need to get the raw material. We do not just grab random steel off a shelf. For custom gears, we order specific grades of steel that match your application. Sometimes we have that steel in stock. Other times we need to order it from a mill, and that can take a week or two just for the material to show up. So the clock starts ticking as soon as we confirm your order.
- Next comes the machining. This is where we actually cut the gear teeth. Depending on how complex your gear is, this can take anywhere from a few days to a couple of weeks. A simple spur gear is pretty fast. A helical gear or a gear with special tooth profile takes longer. We also have to cut any splines or keyways if your gear needs them. All of that takes time, especially if we have other orders running at the same time.
- After the teeth are cut, we do heat treatment. This is a critical step. The gear gets heated up to a very high temperature and then cooled down in a controlled way. This makes the surface hard so the teeth do not wear out fast, but keeps the inside tough so the gear does not snap under shock. Heat treatment itself might only take a day or two, but we also need to schedule it with our heat treat shop, and sometimes there is a queue.
- Then comes grinding. Most custom gears need some grinding after heat treatment. Heat can cause the gear to change shape just a little bit – maybe a few thousandths of an inch. Grinding brings everything back to the exact dimensions your drawing calls for. This step is slow and careful. If we rush it, the gear might not fit right.
- Finally, we inspect everything. We check the tooth size, the hardness, the surface finish, and the fit with a mating part or a gauge. This takes time too. We do not skip this step because we want to be sure the gear is right before it leaves our shop.
- After inspection, we package the gears and get them ready to ship.

If you order a very large quantity – say, thousands of gears – the production time might be longer because we have to run more batches. We might need to order more material, and the machining and heat treatment take longer just because there are more parts to process.
On the other hand, if you order a small quantity – maybe just a few pieces for a prototype – we might be able to do it faster than 50 days. Small batches can sometimes move through the shop quicker because there are fewer parts to make and inspect.
Also, the way we make the gear affects the timeline. Some manufacturing processes are faster than others. For example, hobbing is pretty quick for most gears. Gear shaping takes a bit longer. If your gear needs a special tooth profile or a very tight tolerance, that adds time too. So the specific craft we choose – hobbing, shaping, grinding, etc. – will affect the lead time.
